Master packages:
Utilizing master travel packages expedites response times and enhances efficiency when addressing inquiries. These versatile packages offer several benefits, including providing instant quotations to clients, enabling new staff members to effectively engage with clients, and facilitating the publication of packages on your website or the creation of landing pages and emailers for marketing campaigns. Master travel packages are a valuable tool for optimizing time management and delivering a seamless customer experience.
These packages can be publised on your b2c nd b2b website as per the module opted.
This module covers the steps to create master pacakges.
Component of readymage packages:
- Readmade package
- Fixed Departures
- In case you offer fixed departure pacakges that have fixed dates and inventory you can opt Fixed Departure check Box. Click on the link below to learn about Fixed Departures.
- Bus Routes [As per the plan]
- Crusie
- If your package includes a cruise experience and offers the cruise ship, you should consider selecting the "Cruise Category." This differs from a normal package where accommodations vary between different cities and hotels.
- Events [As per the plan]
- Fixed Departures
Steps 1:
To access readymade package go to Login > My Inventory > Packages > Add Readymade Package
Steps 2 - Package Components:
Package Name:
Choose a Pacakge Name that attracts the cusotmer and give sense of the package itself. In case you are promoting a Hotel in a package mention for Honeymoon then you must consider to show Hotel Name in the package name like "Honeymoon at Tropical Bliss at Centara Ras Fushi Resort & Spa"
In case your package offers a multi destination tour you can try some interesting package name like for Europe you can consider "European Grandeur: Unveiling the Charms of the Old Continent".
Note: Please refrain from specifying the Duration of Days and Nights in the package, as the system will automatically indicate the number of nights and days. Additionally, we recommend avoiding standalone Destination Names, such as "Thailand Tour," to prevent confusion when dealing with multiple packages to the same destination.
Starting From and End City:
Starting from is the place from where your land package starts.
In case of a Fixed Departure whre you may have multiple Departure Cities or Singel Departure city as well do mention the starting city from where your land package starts like in case a package is Fixed Departure for Thailand and starts from Bangkok do mention Bangkok as start city and if your pacakge offers flights or buses from multiple cities they can be mentioned in departure destinations (Single as well as multiple).
Destination Covered:
The system automatically selects the hotel cities within a package to present relevant sightseeing options in a specific city or to fulfill search criteria on the website. However, in instances where a day tour is planned for sightseeing purposes without an associated hotel stay, it's essential to indicate that particular city. For instance, if your hotel is in Dubai and you're embarking on a day tour to Abu Dhabi, please include Abu Dhabi in the list of destinations Covered. This ensures that all suggested sightseeing activities for Abu Dhabi are appropriately displayed.
Supplier:
You should mention the supplier name here that will help you to refer the supplier of a pacakge once a package is sold. In case you do not have any supplier for a package you can consider to enter your company name as a supplier.
Package Theme:
You can also specify the theme of the package, such as "Weekend Getaway" or "Honeymoon Retreat." This feature assists your customers in searching for packages based on specific themes or categories that align with their preferences and interests.
Inclusions:
You have the option to outline the package inclusions, which encompass elements like accommodations, transfers, meals, and more. This provides clear information to customers about what is covered within the package.
Package Categories:
The system provides the option to create up to five categories for a package. In each category, you have the flexibility to specify varying hotel classifications for each category. The differentiating factors among these categories primarily encompass the hotel name, room type, meal plans and price, while all other elements remain consistent across the categories.
Note: It's crucial to accurately select the appropriate number of categories for the package during creation. Please be aware that once saved, the system does not permit changes to the number of categories.
Package Specifications:
Opt for an "Itinerary Based Package" if your offering multiple days and cities, necessitating the display of a detailed daily itinerary. On the other hand, if you're providing a package that features a single hotel with fundamental inclusions and does not require a day-wise itinerary, consider selecting the "Only Hotel Package" option.
Image:
We recommend selecting an eye-catching image, as this picture will be utilized across various platforms linked to this package. It will feature prominently on the website for this package, serve as the primary image in the PDF document, appear as thumbnail emailer & landing pages. Opting for a blank image could result in an unappealing appearance across your website, email campaigns, landing pages, and PDF itineraries.
Overview:
This is an optional section and you can consider to write a short overview of the package if you want to which will be displayed as introduciton of the package in addition to daily itineary.
Steps 2 - Itinerary:
In this section, you have the option to specify the destination and the number of nights allocated to each destination within the itinerary.
Furthermore, you can establish an itinerary description master if you wish to reuse the same description for similar itineraries covering the same destination route.
Additionally, you can include details about hotels available in each category, along with room types and meal plans. Feel free to outline the sightseeing activities planned for each city as well.
PS: Do not copy paste the hotel name or sightseeing name but select them from dropdown to avoid duplicate entry of the hotel name as this may result in confusuon later.
Under hotel we recoomend to always choose more than one hotel if you do show system will disoaly first hotel name or similar hotel on website and email communciaiton.
Steps 3 - Optionals:
The "Addon Optional Items" feature is a clever approach to present a package's initial cost at a lower rate to your customers. It empowers them to select additional items according to their preferences, effectively upselling within the package. This strategy not only garners increased customer interest but also encourages a personalized and tailored experience for your clients.
Once you click on View All system will show the option to add addon optional items as per below screen:
Step 4 - Terms & Conditions:
The system will automatically retrieve the master Terms and Conditions (T&C). However, you have the capability to modify these terms exclusively for this particular package and it will not affect the master T n C.
Step 5 - Cost Sheet:
In this crucial section, you have the opportunity to input the package pricing obtained from your suppliers. For packages that are designed to accommodate quad sharing or more, like UMRAH and HAJJ packages, you can choose the "Quad+ Price" option.
In this section, you have the flexibility to select multiple seasons or datesin case of fixed departures. Additionally, you can set both B2C and B2B markups for each package. Please remember that in the initial step, you should enter the markup, not the cost, as the cost will be entered in the subsequent step.
If you are sourcing a package in a different currency, you have the option to adjust the currency within the system. The system will then utilize an API to automatically retrieve the current conversion rate. When you share the package, the system will also automatically select and apply the relevant conversion rate at that point in time.
Step 6 - Publishing the Package:
Once you are done with costing part system allows you to publish the package on various platform and set the booking options for the website.
Minimum Pax Allowed: Minimum pax allowed to book this pacakge.
Package Valid Till: Pacakge will not be allowed to be booked post this date.
Cutoff Days & Time: "Cutoff days" refers to the number of days before the travel date by which a package needs to be booked in advance.
Auto Proposal with Booking: If this option is selected system will allow the customer to book this package online. Recommended for Fixed Departures or packages that you feel can be fullfilled if sold online.
Auto Proposal No Booking: If this option is selected system will send the auto proposal to the cleint but will not allow the cusotmer to book the package. [Recommended for all other packages]
Only Query: If you want to send the quotaiton manually to your client you can opt for this option.
TCS: In case TCS is applicable for this package you should opt for Apply TCS.
FIT Rates: If you choose "FIT rates," the system will perform price calculations solely for the specified number of passengers for which rates have been entered. However, if "FIT Rates" are not selected, the system will automatically calculate rates for additional passengers based on the last applicable rate slab. For Fixed Departures or where rates are fixed for any number of pax you should keep the check box unchcked.
Display On: Once you select Disoplay on and click on save and publish system will publish the package on respective website whcih are selected.
PS: Please note that after each change you need to unpublish and publish the package to be displayed on the website with updated.
